Letter writing.

How do you write a good letter? Well there are many different views on what makes a good letter, however getting the basics right is the thing to concentrate on.

Planning the letter.

Before you start your letter sit down and think what you want to get across. Write down the main points you wish to get across – make a list. Then plan in what part of the letter they should go in.

Writing the first paragraph.

This paragraph should only introduce the subject and give the reason for writing. Don’t place you main points you wish to get across here.

The main body of the letter.

Here you have a chance to get your main points across. Do not draw conclusions here or push for action from the receiver of the letter. Leave that for the final paragraph.

The final paragraph.

All of your arguments should have been placed in the main body. If you wish the receiver to take action, here is the place to put it. Don’t be rude or over aggressive.

The tone of the letter.

Getting the right tone for letter is important – too aggressive and the receiver may just dismiss it. Here are some of the main points to help you get it right with the tone.

  1. Avoid using too much jargon
  2. Don’t use too many long sentences
  3. Don’t get over emotional in your letter.
  4. Don’t try to be too clever – this may just get in the way of your main points

Sincerely or Faithfully?

Many people get mixed up on what to use.

If you do not know the person, use Dear Mr/Mrs/Miss/Ms and end the letter ‘yours sincerely’. End the letter with your full name.

If you know them or have spoken to them by phone or previous letter, address them by name and sign yourself ‘yours sincerely’ and use only your first name.
